What is a mobility/exchange period?

A mobility/exchange period is the opportunity to carry out part of your studies and/or traineeship at another university/institution, through the ERASMUS+ Programme, the General Cooperation Agreements and other initiatives. There is also the possibility of doing one or two semesters at a Portuguese Higher Education Institution (HEI) under the Almeida Garrett (university education) and Vasco da Gama (polytechnic education) National Mobility Programmes.

What are the requirements for a mobility/exchange period?

To undertake a mobility/exchange period under the Erasmus+ Programme, you must be enrolled at the University of Algarve on a CTeSP course or a Bachelor's degree (1st cycle), Master's degree (2nd cycle) or PhD (3rd cycle). Under Erasmus+, you can undertake mobility from the 1st year of higher education. Mobility/exchange periods can be of 2 types: for study purposes (SMS) and for Traineeship purposes (SMP). The minimum duration of both types of mobility is 2 months (60 days) and the maximum duration is 12 months (360 days). The Erasmus+ programme award grants whose monthly amounts vary according to the country of destination.

To undertake an international study or traineeship mobility or under the General Cooperation Agreements, or the Almeida Garrett and Vasco da Gama National Mobility Programmes, you must be enrolled at UAlg in one of the three study cycles mentioned above. Mobility can take place over one or two academic semesters. Mobilities under the General Cooperation Agreements and the Almeida Garrett and Vasco da Gama National Mobility Programmes do not get funding.

 

Erasmus + Program 

Who can apply?

UAlg students enrolled in any study cycle (CTeSP, Bachelor's, Master's or PhD) can apply to the Erasmus+ Programme to undertake a mobility period at a partner higher education institution with which an Erasmus+ Bilateral Agreement has been signed, in their respective study field. Students must register with UAlg's Academic Services in the academic year in which they are undertaking the mobility and have their financial situation in order, that is, not having any tuition fees’ overdue payments.

Under the Erasmus+ Programme, students can undertake a combined mobility between studies and traineeships, in the study cycle in which they are enrolled, for a maximum period of 12 months (360 days). The Erasmus+ Programme allows students to benefit from a maximum mobility period of 12 months per study cycle.

The University of Algarve holds an Erasmus+ General Regulation which sets out the requirements for applications. However, it is highly recommended that you contact your Course Director and the Mobility Coordinator of your Faculty/School Unit before submitting an application.

The list of Erasmus+ Bilateral Agreements can be consulted on the UAlg website, under Agreements and Protocols, and on the Mobilidade.Net Platform.

Calls for Applications

The first call for applications for a study mobility under the Erasmus+ Programme takes place in February, for mobilities to be carried out in the following academic year. In the first call, students can submit applications for mobilities to be carried out in the 1st term, the 2nd term or the full academic year.

The second call for applications takes place in May for mobilities to be carried out in the second term of the following academic year, exclusively. In this second call, only the vacancies that were not taken up in the first call for applications will be made available.

The opening of Calls for Application applications is publicised on UALGNET and via the mailing list of all students enrolled at UAlg.

Application procedure

Those interested in undertaking study mobility should contact the Course Director and the Mobility Coordinator of the corresponding Faculty/School in the first place, and seek information on the partner universities with which there are valid bilateral agreements in their study field. You should also check application requirements and deadlines set out by each host institution to which you are applying.

You can access the list of higher education institutions with which there are valid bilateral agreements/protocols by consulting the information on the UAlg website, in the menu INTERNATIONAL - Mobility - Agreements and Protocols and on the Mobilidade.net platform.

Step by step:

  • Check the information published by the International Relations and Mobility Office (IRO) on UALGNET on the opening of applications, where you will have access to the support documentation. Information is available under Services/Mobility;
  • Browse the websites of foreign higher education institutions with which there are valid bilateral agreements/protocols in your study field to find out about the institution itself, study plans, application deadlines, timetables, location, language courses, accommodation, language courses and other relevant information;
  • Apply online, attaching all required documents within the set deadlines. You can choose up to a maximum of 5 host institutions (to make things easier for you, we recommend consulting the Mobilidade.Net Guide, Outgoing Mobilities, available on UALGNET);
  • If you have been shortlisted, you will need to draw up your Learning Agreement for Studies and Credit Plan (CP). They are both mandatory documents and you must submit them to the Mobility Coordinator and Course Director at your Faculty/School for approval;
  • Once the candidates have been selected and the placement accepted, IRO nominates the students to the host institution;
  • After nomination, the student must apply to the host institution, respecting the respective deadlines. As a rule, applications are made online and the student must inform IRO;
  • At a later stage, the student receives an acceptance letter from the host institution, as well as information on the school calendar, language requirements, hosting session, etc.);
  • To prepare the Erasmus+ grant contract, IRO will ask students to send in their letter of acceptance, the signed Learning Agreement for Studies and the Credit Plan. Only after receiving these documents, will the Erasmus+ scholarship contract be issued and signed;
  • Information on accommodation, language of instruction and travelling is the responsibility of the selected student;
  • We suggest that you check if the university where you were accepted has an Erasmus Student Network, which usually offers logistical support to visiting students (Incoming).

Selection procedure

  • Students are selected after the calls for applications are closed and after approval by the Mobility Coordinators of each Faculty/School, on the Mobilidade.Net platform;
  • For selection purposes, the following criteria are taken into account: the student's average grade and the number of ECTS credits completed at the time of application;
  • The calculations carried out to set the final grade are as follows: Grade for mobility selection = 0.5 x (Student's course average) + 0.5 x (Score for completed ECTS*).

  • The application system selects and allocates vacancies according to the grade obtained by each student in each Faculty/School. In the specific cases of the Faculty of Economics and the School of Hospitality, Management and Tourism, rankings are carried out jointly because they share vacancies in similar study areas;
  • Vacancies and Erasmus+ funding are awarded to those placed first in each Faculty/School.​​​​

Grants

The Erasmus+ mobility grant is intended to help students cover the difference in living costs between their home and host countries. Being selected for an Erasmus+ mobility programme does not necessarily mean you will receive a mobility grant.

The European Commission (EC) has set out three groups of countries with different living costs (Group 1 - high living costs, Group 2 - intermediate living costs and Group 3 - low living costs), for which identical, fixed grant amounts have been allocated. These amounts are set out by the Erasmus+ National Agencies in each country, for each academic year, and based on the funding allocated by the European Commission to each Member State.

Grants are awarded according to the destination country and for a certain number of mobility days, which can match the entire mobility period, or which can be combined with an additional number of days with "zero-grant" (no funding).

In case it is not possible to provide funding to all students, Erasmus+ mobility can take place without EU funding, that is, with a "zero-grant". In such cases, the student benefits from all the conditions and rights of participation in the Erasmus+ Programme, namely, exemption from tuition fees at the host institution and access to its services during the Erasmus+ mobility period.

Before the start of the Erasmus+ mobility, all students must sign an Erasmus+ grant contract with UAlg, either with a grant or a “zero grant”. No student should go on mobility without having signed the Erasmus+ grant contract, as well as the Learning Agreement for Studies and the Credit Plan.

Grant supplements

 

Participants with Fewer Opportunities

If you are a grantee from the Social Services (SAS), you must send proof of this status to the IRO before signing the Erasmus+ grant contract. You will receive, cumulatively, the Erasmus+ grant plus a monthly top-up of 250 euros, the SAS grant, in addition to a SAS grant top-up of 100€ to 150€ per month.

 

Inclusion Support

If you have a disability: physical, sensory, mental (intellectual, cognitive or learning), among others, you are entitled to an extra grant for travel and subsistence costs. This support, if justified, will be set out by the Erasmus+ National Agency at the end of the mobility.

Green travel

Green travel contributes to carbon neutrality by promoting the use of more sustainable means of transportation: train, bus and carpooling. A journey is considered green if most of the roundtrip is carried out using the sustainable means mentioned above. Green travel qualifies for a single top-up payment of 50 euros and up to 4 days of additional individual support for the days spent travelling.

To take advantage of such benefits, students must inform the IRO before signing the grant contract, so that the amount can be added to the grant to be received. To do this, they are asked to sign a Declaration of Honour and then hand in their travel tickets (e.g. bus, train, ship, etc.).

All mobility arrangements, such as travel and accommodation, are the sole responsibility of the student.

Documents required to sign the Erasmus+ Grant Contract:

 

  • Copy of Citizen Card;
  • Copy of Passport and Portuguese Residence Permit (foreign citizens);
  • Copy of Portuguese NIF (Tax Identification Number);
  • Copy of document issued by the bank, less than 6 months ago, with the following bank details (name of account holder, IBAN and SWIFT);
  • Letter/email of acceptance from host institution stating the foreseen start and end dates of the mobility;
  • Learning Agreement for Studies, completed and signed by all three parties;
  • Credit Plan, completed and signed by all three parties (the template should be requested to the Mobility Coordinator of the Faculty/School);
  • Declaration of Honour with confirmation of address in Portugal (foreign citizens).

 

The Learning Agreement for Studies must be signed by all three parties: the student, the mobility coordinator at UAlg, and the person responsible at the host institution. It is the student's responsibility to send the Learning Agreement for Sudies to the host institution and collect the signatures.

Insurance coverage

During the mobility period, you will be covered by a school personal accident insurance, provided that your enrolment at UAlg is active. The insurance covers accidents that take place on the way to the host institution or on its premises. In the event of an accident, you must:

 

  • contact the IRO within 5 days of the incident and ask for the insurance to be activated;
  • keep all receipts for the expenses incurred.

You should check that you have a valid European Health Insurance Card. In addition, you can take out a health insurance plan.

Important note: Students who are not EU citizens must apply for a study visa at the Consular Representation of their country of destination in Portugal.

 

Check-list

  • Check the deadlines and procedures for submitting the online application on UALGNET and the Mobilidade.Net platform;
  • Choose the host country and the host institution;
  • Contact the Course Director and the Mobility Coordinator of your Faculty/School.
  • Enrol with the Academic Services (compulsory);
  • Confirm your arrival and departure dates;
  • Sign the Erasmus+ grant contract;
  • Check that you have a valid European Health Insurance Card and/or other type of health insurance;
  • Check that you have accommodation during your mobility;
  • Check if there is an Erasmus Student Network in the country of destination and contact it for help on arrival;
  • Take the OLS (Online Linguistic Support) test which is compulsory prior to mobility and whose license is sent by the IRO with the Erasmus+ grant contract;
  • Make sure you have handed in all documents, duly completed and signed, to the IRO.

Don't forget to take the following documents with you:

  • Citizen Card / Identification Document or Passport (original and copies);
  • Visa (for students who are not citizens of the European Union);
  • European Health Insurance Card (original and copies);
  • Confirmation of your acceptance at the Host University and also the LA (Learning Agreement for Studies);
  • Confirmation of accommodation at the host university (if applicable);
  • Some pocket money for the first days.
  • Ask the International Relations Office of the host university to sign the certificate of arrival;
  • Send the IRO, via email, or upload it to the Mobilidade.Net platform, the certificate of arrival duly completed and signed by the Host University (within 1 week of arrival, obligatorily);
  • If you need to make changes to the initial LA, don't forget to contact the Mobility Coordinator of the Faculty/School for approval (Changes to the Learning Agreement for Studies). These changes must be made within one month of the start of the mobility). In addition, you will have to change the previously agreed Credit Plan. Please contact the Course Director and the Mobility Coordinator accordingly;
  • If you wish to extend your mobility period, request prior authorisation from the Mobility Coordinator of your Faculty/School, the IRO and the person responsible at the host institution. You must do this no later than one month before the end of the mobility. Extending your mobility does not necessarily mean extending your Erasmus+ grant and depends on the funding available. Extending the study period implies signing an Addendum to the Erasmus+ Grant Contract, or a new Erasmus+ grant contract, depending on the funding available. You must also sign a new Learning Agreement for Studies and a new Credit Plan.
  • Check out the procedure for finalising the mobility process at the host university by contacting the respective International Relations Office;
  • Request the Certificate of Attendance, duly signed and stamped, with the dates of arrival and departure from the host university. This document must be sent to the IRO by email or uploaded to the Mobilidade.Net platform;
  • Request the Transcript of Records from the host university.
  • Send the Certificate of Attendance duly completed, signed and stamped by the host university to the IRO to close the mobility process;
  • If you receive the Transcript of Records from the host university, send this document to the IRO as soon as possible;
  • If you have not completed the compulsory mobility report sent by the Erasmus+ National Agency to your email, please do it as soon as possible.

Short-Term Study Mobility

1. Blended Intensive Programmes

As a student enrolled in any study programme at UAlg (CTeSP, Bachelor's, Master's or PhD), you can apply to take part in a Blended Intensive Programme.

Blended Intensive Programmes (BIP) are short, open, transnational courses organised by a minimum of 3 European higher education institutions.  BIP should focus on innovative themes and award a minimum of 3 ECTS. They are organised throughout the academic year and have a compulsory physical component, ranging from 5 to 30 days, and a compulsory virtual component of a variable duration.

Blended Intensive Programmes are advertised by UAlg Faculties/Schools and by the IRO. Students who wish to submit their applications, must do so to the higher education institution organising the BIP. UAlg students who are accepted to take part in a BIP should contact the IRO and apply for an Erasmus+ grant to fund the physical component of the course.

 

2. PhD Students (3rd cyle) can apply for an Erasmus+ grant to carry out a short-term physical mobility ranging between 5 to 30 days. These mobilities can have an optional virtual component.

 

3. Participants with fewer opportunities can apply for an Erasmus+ grant to undertake a short-term study mobility, with a physical mobility component ranging between 5 to 30 days, and a compulsory virtual component of a variable duration.

Other mobilities

Students enrolled in any study cycle (CTeSP, Bachelor's, Master's or PhD) can apply for a study mobility under the General Cooperation Agreements, as long as the mobilities are set out in the Agreements. Students must register with the Academic Services in the academic year in which the mobility is taking place and pay their tuition fees at UAlg accordingly.

 

When choosing the host institution, it is highly recommended that you contact your Course Director and the Mobility Coordinator of your Faculty/School to help you draw up the study plan. The list of General Cooperation Agreements can be consulted on the UAlg website, under Agreements and Protocols, and on the Mobilidade.Net platform.

The National Mobility Programmes Almeida Garrett (university education) and Vasco da Gama (polytechnic education) enable UAlg students enrolled in study cycle (CTeSP, Bachelor's, Master's or PhD) to undertake a mobility period of one term or two terms at any Portuguese higher education institution.

Students must register with the Academic Services in the academic year in which the mobility takes place and have their financial situation in order.

 

When choosing the host institution, it is highly recommended that you contact your Course Director and the Mobility Coordinator of your Faculty/School to help you draw up the study plan.

 

Students who wish to undertake a mobility period at a Portuguese higher education institution should take into account application deadlines at their home institution (UAlg) and at the host institution.

At UAlg, the first call for applications is in February, for mobilities to take place in the 1st or the 2nd terms of the following academic year. The second call for applications is in May, for mobilities to take place in the 2nd semester of the following academic year, exclusively.

In addition, students should check out the internal application deadlines of the host institution (Incoming students) and the list of documents to be submitted.

 

 

 

 

Application procedure

 

  • Applications for outgoing mobility under the National Mobility Programmes are submitted online on the Mobilidade.Net platform;
  • The Credit Plan must be signed by the Student, the Course Director, and the Mobility Coordinator;
  • IRO nominates selected students to the host institution;
  • After nomination, the host institution contacts students to formalise the internal application process.

 

 

Required documentation (to be confirmed with the host institution)

 

  • Identification document (valid);
  • 1 Photo;
  • Application form - Almeida Garrett / application form - Vasco da Gama (see document box below);
  • Learning Agreement - Almeida Garrett / Learning Agreement - Vasco da Gama (see document box below);

 

Upon completion of the mobility programme, students must send the IRO the Certificate of Attendance, stating the arrival and departure from the host institution, duly signed and stamped, and the Transcript of Records.

How to find a traineeship?

Contrary to mobility for study purposes, a traineeship mobility does not require an Erasmus+ Bilateral Agreement, and it is the student's sole responsibility to find a traineeship location. UAlg takes part in several national Erasmus+ traineeship consortia, such as the Erasmus+ Al Sud consortium, the Erasmus+ AETC consortium and the Erasmus+ Advanced Computing consortium.  These consortia are coordinated by the University of Algarve, the Portuguese Catholic University and the University of Évora, respectively.

The IRO does not have information on traineeship locations in Europe, or elsewhere, that students can choose from. We recommend checking information available on the internship platforms listed below to choose the best location:

Who can apply?

The Erasmus+ Programme offers grants to UAlg students and recent graduates to carry out traineeships in Europe. Take advantage of this unique chance to get to know different cultures, gain professional experience and enrich your CV.

Students enrolled at UAlg in any study cycle (CTeSP, Bachelor's, Master's or PhD) can apply for a traineeship mobility.

Applications are open all year round, but students are highly recommended to submit their traineeship application no later than 2 months before the start of the traineeship.

In the case of final-year students, applications must be submitted up to 2 months before the completion of the degree.

The procedure for awarding Erasmus+ funding for traineeships to higher education students is available for consultation on UALGNET. We recommend that you read the document attentively.

You can apply for 4 types of traineeships:

1) Curricular Traineeship (Type A): corresponds to a curricular unit (UC) included in the study programme; 

2) Extracurricular Traineeship (Type B): not included in the study programme, as a complement to academic training;

3) Traineeships for recent graduates (Type C): must be carried out within 12 months of completing the degree, as a complement to academic training;

4) Traineeships for students enrolled in Master’s and Doctorate programmes in the course units Dissertation / Project Report / Traineeship Report / Doctoral Thesis (Type D).

Application procedure

Applications for Erasmus+ traineeships are submitted on the Mobilidade.Net platform and are open all year round. If you have already benefited from an Erasmus+ grant in the study cycle in which you are enrolled (studies or traineeship), the total duration cannot exceed 12 months.

If you wish to apply for a traineeship for recent graduates, you must submit your application no later than two months before you graduate.

Required documentation

  • Copy of Citizen Card;
  • Copy of Passport and Portuguese Residence Permit (foreign citizens);
  • Copy of the Portuguese NIF (Tax Identification Number);
  • Copy of document issued by the bank, less than 6 months ago, with the following bank details (name of account holder, IBAN and SWIFT);

  • Curriculum Vitae;
  • Letter/email of acceptance from host institution stating the foreseen start and end dates of the mobility;
  • In the case of a curricular traineeship (Type A), a Credit Plan completed and signed by the 3 parties (Student, Course Director and Supervisor at the host institution) must be included in the application.  You shall ask the Mobility Coordinator of your Faculty/School for the template;
  • Declaration of Honour with confirmation of address in Portugal (foreign citizens).

Make sure you have handed in all documents, duly completed and signed, to the IRO.

The Learning Agreement for Traineeships (LAT) must be signed by all three parties: the Student, the Mobility Coordinator at UAlg, and the person responsible at the host institution. It is the student's responsibility to send the LAT to the host institution and collect the three signatures.

 

Insurance coverage

 

During the mobility period, you will be covered by a school personal accident insurance, provided that your enrolment at UAlg is active. The insurance covers accidents that take place on the way to the host institution or on its premises. In the event of an accident, you must:

Check-list

  • Make sure you register with the Academic Services, according to the type of traineeship you will be doing.  If it is an extracurricular traineeship (Type B) or a traineeship for recent graduates (Type C), you will need to enrol in the Isolated Curricular Unit – Erasmus Traineeship for the purposes of academic recognition in the Diploma Supplement and coverage by the school insurance.   • Check that your traineeship application has been completed;
  • Sign the Erasmus+ grant contract;
  • Check that you have a valid European Health Insurance Card and/or other health insurance;
  • Check that you have accommodation during your mobility;
  • Check that there is an Erasmus Student Network in your destination country, and contact it for help on arrival;
  • Make sure you have handed in all documents duly completed and signed to the IRO.

 

 

Don't forget to take the following documents with you:

 

  • Citizen Card / Identification Document or Passport (original and copies);
  • Visa (for students who are not citizens of the European Union);
  • European Health Insurance Card (original and copies);
  • Letter of acceptance from host institution, as well as an indication of the contact person you should contact on arrival at the host institution;
  • Confirmation of accommodation at the host university (if applicable);
  • Some pocket money for the first days.

  • Request the Certificate of Attendance, with the dates of arrival and departure, duly signed and stamped by the Host Institution;
  • If the traineeship takes place in an academic context and a grade is awarded, request the Transcript of Records;
  • Request the After the Mobility document (table D of the Learning Agreement for Traineeships) completed, signed and stamped by the host institution;
  • If you wish to extend your mobility period, request prior authorisation from the Mobility Coordinator of your Faculty/School, IRO and the person responsible at the host institution. You must do this up to one month before the end of mobility. Extending your mobility does not necessarily mean extending your Erasmus+ grant and depends on the funding available. Extending the mobility period implies signing an Addendum to the Erasmus+ grant contract, or a new Erasmus+ grant contract, depending on the funding available. You must also sign a new Learning Agreement for Traineeships and a new Credit Plan (curricular traineeships only).
  • Send the Certificate of Attendance duly completed, signed and stamped by the host institution to the IRO or upload it to the Mobilidade.Net platform to close the mobility process;
  • If the Transcript of Records is issued, send it to the IRO;
  • Send the IRO a brief report (1 page in A4 format) describing the activities carried out during the traineeship;
  • Send the IRO the After the Mobility document (Table D of the Learning Agreement for Traineeships) with the assessment by the supervisor at the host institution, duly signed and stamped;
  • Send the IRO the Opinions of the supervisors at UAlg and at the host institution (an email or statement is enough);
  • If you have not completed the compulsory mobility report sent by the Erasmus+ National Agency to your email, please do it as soon as possible.

 

 

The above documents must be handed out to the IRO no later than 3 weeks after the end of the traineeship.

Short-Term Traineeship Mobility

1. PhD Students (3rd cyle) can apply for an Erasmus+ grant to carry out a short-term physical mobility ranging between 5 to 30 days. These mobilities can have an optional virtual component.

 

2. Participants with fewer opportunities can apply for an Erasmus+ grant to undertake a short-term study mobility, with a physical mobility component ranging between 5 to 30 days, and a compulsory virtual component of a variable duration.
